Privacy Policy

1. Who We Are

OGLandman LLC, a Texas limited liability company ("OGLandman," "we," "us," or "our") provides Scout and the free TRRC Permit Tracker, M&A Directory, and County Records Directory. This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. It is part of our Terms of Service. 2. Information We Collect

We collect the following:

  • Account information you provide: your name, work email, company, and the credentials you use to sign in.
  • Your Data: the content you put into Scout, including owner records, deal and pipeline information, call logs, uploaded documents, and templates.
  • Billing information: the plan you choose and a payment method, which is collected and processed by our payment processor, Stripe. We do not receive or store your full payment card number.
  • Usage and device information: how you interact with the Services (pages and features used, timestamps) and standard technical data such as browser type and IP address, used for security and to operate the Services.
  • Free-tool email: if you unlock the Permit Tracker or subscribe to permit or newsletter emails, we collect the email address you provide.

We collect information directly from you and as you use the Services. We do not buy personal information about you from data brokers.

3. How We Use Your Information

We use your information to:

  • provide, maintain, and improve the Services;
  • process subscriptions, credits, and payments, and prevent fraud;
  • respond to your requests and provide support;
  • send account, transactional, security, and product-update messages (you can opt out of non-essential email);
  • produce aggregate, de-identified analytics about how the Services are used; and
  • comply with law and enforce our Terms.

We do not sell your personal information or Your Data, and we do not use them for advertising or to build advertising profiles.

4. How AI Features Use Your Data

Scout's AI-assisted features (such as AI-assisted import, template detection, and signature or terms extraction) send the relevant portions of Your Data to our AI provider, Anthropic, through its API so the feature can run. Anthropic does not use data submitted through its API to train its models, and we do not use Your Data to train AI models. AI features are optional; deterministic and manual work in Scout does not send Your Data to an AI provider.

5. How We Share Information

We do not sell your personal information or Your Data. We share information only in these limited ways:

  • Subprocessors: vendors who process data on our behalf to run the Services (hosting, database, payments, AI processing, document conversion, and email delivery), under contracts that require them to protect it.
  • Legal and safety: when required by law, legal process, or to protect the rights, safety, and property of OGLandman, our users, or the public.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.
  • With your direction: when you ask us to share information or make it available to others (for example, team members you invite).

6. Cookies and Analytics

We use essential cookies and similar technologies that are required for the Services to function, such as keeping you signed in and protecting against fraud. For product analytics we use Vercel Web Analytics, a privacy-friendly, cookieless measurement tool that does not track you across other sites. We do not use advertising or cross-site tracking cookies.

7. Data Storage and Security

Your data is stored on managed cloud infrastructure with encryption in transit and at rest, restricted access, and automated daily backups. More detail is on our Security page. No system is perfectly secure, but we work to protect your information and to notify affected users promptly if a breach occurs.

8. Data Retention

We retain Your Data for as long as your account is active. After your plan ends or your account is terminated, Your Data remains available for export for 7 days, after which it is permanently deleted from our production systems within 14 days; backups are then purged on a rolling schedule. We may retain limited records (such as billing records) as required for legal, tax, or accounting purposes.

9. Your Privacy Rights

You can access, correct, export, or delete your information at any time through your account settings, or by contacting us at support@oglandman.com. You can export Your Data in standard formats such as CSV, and you can request complete account deletion.

California: we do not sell or share your personal information as those terms are defined under California law, and we do not discriminate against you for exercising your rights. You may request access to or deletion of your personal information as described above.

EU, UK, and other regions with data-protection laws: where those laws apply, you have rights to access, correct, delete, restrict, or port your personal data, and to object to certain processing. We process personal data to perform our contract with you, to meet legal obligations, and for our legitimate interests in operating and securing the Services. You also have the right to lodge a complaint with your local data-protection or supervisory authority, and where we rely on your consent, you may withdraw it at any time. 10. International Data Transfers

We are based in the United States, and our infrastructure and most subprocessors are located in the United States. Some subprocessors may process data in other regions (for example, document conversion may occur in the European Union). Where data is transferred across borders and a safeguard is required, we rely on an appropriate mechanism such as the European Commission's Standard Contractual Clauses (with the UK Addendum where applicable) or another lawful transfer basis.

11. Children

The Services are for business use by adults and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Data Processing Agreement

Business customers who need a Data Processing Agreement (DPA) for their compliance program can request one at support@oglandman.com.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If we make a material change, we will provide notice by email or in-app notification at least 30 days before it takes effect. The date at the top of this page shows when it was last updated.
